Public Records Requests Should Include

  • Date of request
  • Detailed description of public records requested to adequately locate the records
  • Requester information:
    • Name
    • Address or Email address
    • Phone number

You will receive a response within 5 business days.


 Note: Many public records are currently available here on the city's website at no cost. Examples include:

The Public Records Officer will make records available for inspection and copying by appointment during normal business hours, excluding legal holidays. Requesters will not remove documents from the viewing area or disassemble or alter any document. The requester will indicate which documents he/she wishes the city to copy.


Response to Records Requests

Within 5 business days of receipt of your records request the Records Officer or designee will do 1 of the following:

  • Provide a reasonable estimate when records will be available.
  • Make the records available for inspection or copying.
  • Send copies of records to you if payment has been received.
  • Contact you to request clarification.
  • Deny the request citing reason for denial.

If you do not receive a response within 5 days you should contact the Records Officer to determine the reason.


Records Exempt From Disclosure

The Public Records Act lists types of documents exempt from public inspection and copying. Other laws also prohibit disclosure of certain records. The city will not disclose lists of individuals for commercial purposes. If only a portion of a record is exempt from disclosure the Records Officer or designee will redact the exempt portions before providing the document.


Fee

A fee may be required for some requests to cover costs related to the reproduction of public records. The Records Officer will provide more information on any fees.


Special Considerations

  • The city is not required to create documents in order to comply with a request for specific information. Rather, the city must produce existing records for review and copying.
  • The city is not obligated to compile information from various records so that information is in a form that is more useful to the requester.
  • If a requester has not reviewed or claimed records within 30 days of notice that records are available, or fails to make payment, the Records Officer may close the request.
  • If requested records contain information that may affect rights of others, before providing the records, the Records Officer or designee may give notice and allow time for action by the other parties.
  • After a request has been filled, if the Records Officer becomes aware of additional documents existing at the time of the request, these will be provided to the requester on an expedited basis.
